Position Summary

Reporting to the Supervisor of Office Services, the Office Services Representative is responsible for providing excellent customer service to internal and external clients to help them send and receive packages and mail in a timely manner.

Department Summary/Mandate:

The Office Services department is committed to customer loyalty by providing the utmost quality and service to our clients.  We strive to handle our clients’ incoming shipments in a timely manner and to provide the most cost effective and most efficient method for our clients’ outgoing shipments. We endeavor to keep all equipment fully operational with minimum disruption to clients. In addition we ensure that each department has the office supplies that they require to perform their duties. Our focus on client retention ensures service issues are handled promptly, professionally and with the highest quality, guaranteeing customer satisfaction.

Courier companies, equipment vendors, banking personnel, Canada Post

General Responsibilities
·Adhere to service levels and turnaround times
·Handle all aspects of outgoing courier/mail including weighing, packaging, rate-shopping, shipping and generating manifests
·Sort and distribute all incoming mail, magazines and newspapers throughout the company according to the daily schedule
·Sort, prepare and receive deliveries for shuttle runs between office locations
·Follow the AIM Trimark safety procedures with respect to handling suspicious letters or packages
·Research courier options and costs for internal customers
·Research and respond to queries regarding lost or delayed outgoing mail and courier deliveries
·Ensure that photocopiers and fax machines are in good working condition
·Replenish paper supplies in copy stations on each floor
·Replace toners in photocopiers and fax machines
·Assist with the training of temporary agency staff
·Do cheque deposits and certifications daily at different banks
·Maintain a log of all visitors at all times
·Maintain a safe and secure environment
·Assist in all areas of the team responsibilities as required

Requirements/Education
·Secondary school education preferred
·At least 6 months experience in an office preferred
·Basic data entry skills
·Basic knowledge of Outlook, Word and Excel
·Banking knowledge an asset

Working Conditions

Shift work and changing schedules
Some heavy lifting required daily
Overtime may be required
Reliability and dependability are critical to the department success
